The Revaire Event Assistant
In-Office and On-Site Position
Assists Venue Sales Team with daily office duties and event execution; trains directly under Senior Event Producer in phone, web and email inquiries, proposal and menu design, customer service and event estimates; provides in-office and on-premise support for the Venue Sales Team.
Position Responsibilities:
- Be a confident, warm and polished face and voice of The Revaire
- Maintain The Revaire office and communicate supply needs to AFE Office Manager
- Daily duties, such as opening and closing the venue each morning and afternoon
- Answers The Revaire’s dedicated phone line
- Answers and records incoming event inquiries for new and repeat events
- Assists in the proposal design based on client requests and needs
- Frequently follows up with Venue Sales Team to ensure that menu, room layout, rentals, production, guest count, valet, security and weather plan details are set
- Work with The Revaire Logistics Coordinator to confirm details of each vendor or rental order including vendor load-in information and needs, delivery quantities, and delivery date and time
- Manage and process all vendor invoices for payment
- Maintain database of vendor agreements and COI’s
- Creates client estimate letters, event contracts, menus and signage
- Lead on special research projects
- Attends event site visits with Venue Sales Team and updates applicable departments with event changes and logistics
- Event coverage for all Event Producers when asked, assuming you will work all events unless otherwise mentioned
- Captures photos of event set-ups, day of execution and detail shots to send to AFE Marketing Manager
- Prepares meeting agenda and prints all necessary materials for weekly Sales Meetings and Production Meetings
Skills & Experience:
- Minimum of 1-year experience in the catering, venue and/or event planning industry
- Strong verbal and written communication skills with an emphasis on positive customer service
- Experience in the Microsoft Suite Products
- Experience in Caterease and Social Tables is a plus
- Driven, creative, and passionate about customer service and the event industry
- Self-directed in a team environment
- Thrives in a fast-paced, high-volume work environment

- Strong analytical skills
- Manages time, projects, and deadlines efficiently and independently
- Direct and intuitive communication skills
Description of Package:
- Pay to be determined based on candidate qualifications
- Weekly office hours: Monday – Friday, 9 AM – 5:30 PM
- Event hours: evening and weekend hours required dependent on The Revaire event calendar
- Reviews: 3 Month Employee Introductory Period Review plus annual performance/compensation review
