Event Producer
Job Summary:
Plans and executes full-scale events, from initial inquiry to menu and proposal development to day-of event implementation and post-event follow up. Cultivates client relationships and provides excellent customer service. Meets or exceeds outlined personal sales goal by planning on average 75 – 100 annual events.
Job Description:
- Given sales goals by Sales Director and meets or exceeds sales goals by providing excellent customer service, prompt communication to new inquiries and existing clients, and event expertise
- Independent proposal design based on client requests and needs for a variety of events and guest counts to include corporate, social, nonprofit, and wedding business; events to gain complexity after successful event execution
- Independently creates and confirms client estimate letters, event save the date contracts, and event contracts and prepares post-event client invoices
- Selects and sells rental, décor, and other production elements and places applicable orders
- Independently follows up with clients and internal departments to ensure that menu, rentals, production, guest count, and weather plan details are set
- Independently confirms details of each vendor or rental order including delivery quantities, delivery date, time, and address
- Communicates vendor delivery information to client
- Create event notes to send internally and to event staff covering all event timelines and logistics
- Creates note packets for onsite managers for large and detailed events with diagrams and timelines
- Attends events as lead and point-person for AFE team, client, and venue
- Attends specific events as additional event coverage for Sales Team
- Attends weekly internal meetings with all departments
- Attends industry networking events
Qualifications:
- Minimum of 2 years of experience in the catering industry
- Experience in Microsoft Office and with catering software
- Driven, creative, and passionate about customer service and the event industry
- Goal-oriented, including meeting sales and event quantity goals
- Self-directed in a team environment
- Thrives in a fast-paced, high-volume work environment
- Collaborative worker who trusts the expertise of fellow departments
- Strong analytical skills
- Manages time, projects, and deadlines efficiently and independently
- Direct and intuitive communication skills
Compensation, Office Hours, and Event Hours:
- Salary compensation determined based on candidate qualifications
- Weekly office hours: Monday – Friday, 9 AM – 5:30 PM
- Event hours: evening and weekend hours required; dependent on AFE event calendar
- Reviews: 3 Month Employee Introductory Period Review plus annual performance/compensation review
