The Revaire Venue Sales Associate
In-Office and On-Site Event Position
Job Summary:
Assists Venue Sales Team with daily office duties and event execution; handles phone and email event inquiries, proposal and menu design, and event financials; provides in-office and on-premise support for the Venue Sales Team
Job Description:
- Partners with Venue Sales Coordinator in answering incoming calls and recording data related to most event inquiries
- Monitors all tour and calendar scheduling handled by Venue Sales Coordinator
- Designs proposals based on client requests and needs for a variety of events and guest counts to include corporate, social, non-profit, and wedding business
- Creates and confirms client estimate letters, event save the date contracts, and event contracts and prepares post-event client invoices
- Gathers guest count information and guarantees with Venue Sales Coordinator
- Reviews prep sheets and quantities per event
- Makes frequent follow-ups with all A Fare Extraordinaire departments to ensure that menu, rentals, production elements, event flow, guest count, and weather plans are logistically coordinated and accurate
- Confirms accurate vendor and rental orders for all venue events
- Creates event notes to send internally and to event staff by 2pm day prior of event
- Creates note packets for onsite managers for large and detailed events with diagrams and timelines
- Works with Marketing Director to coordinate photoshoots and social media opportunities when certain event details are being installed
- Works with Marketing Director and Sales Director to strategize on client development
- Plans marketing events held at venue – open house, for trade events, etc.
- Attends every event in 2018 to understand the absolute ins-and-outs of the buildings, what logistically works, and how to better sell the use of the space
- Attends all tours with Venue Sales Coordinator for the first 6 months. After established period, attends only tours for highly sought-after clients and logistically challenging events
- Monitors online tour scheduling request system
- Monitors online inquiry form with required fields to provide more information
- Attends weekly production meetings with all departments
- Attends Sales meetings once a month
- Maintains membership and participation in industry related networking organizations
Skills & Experience:
- Minimum of 2-year experience in venue sales
- Experience in the Microsoft Suite Products
- Driven, creative, personable, and passionate about customer service and the event industry
- Self-directed in a team environment
- Thrives in a fast-paced, high-volume work environment
- Collaborative worker who trusts the expertise of fellow departments
- Strong analytical skills
- Manages time, projects, and deadlines efficiently and independently
- Direct and intuitive communication skills
Description of Package:
- Pay to be determined based on candidate qualifications
- Office Hours: 9:00am-5:30pm Tuesday-Friday
- Event hours: evening and weekend hours required dependent on The Revaire event calendar
- Reviews: 3 Month Employee Introductory Period Review plus annual performance/compensation review
