Event Rentals and Warehouse Manager
The primary responsibility of the Event Rentals and Warehouse Manager is to oversee and manage warehouse operations for A Fare Extraordinaire (AFE), a full-service catering company, and The Revaire, its exclusive onsite venue. This includes warehouse operations, the AFE rental business, vehicle fleet system, and event equipment. This role manages warehouse team members, providing direction and support to ensure accurate rental tickets, inventory, event supplies, and transportation for successful onsite and offsite event execution. An ideal candidate will thrive in a team environment and have a natural talent for maintaining systems. The Event Rentals and Warehouse Manager will report to the Director of Operations.
Responsibilities
MANAGEMENT
- Efficiently manage all equipment operations and logistics for A Fare Extraordinaire and The Revaire events
- Utilize the appropriate software and employees to effectively accomplish daily tasks, department projects, and event needs
- Develop and enforce proper procedures of the warehouse to ensure a secure facility
- Maintain and manage safety and organizational standards in the warehouse
- Establish a system of routine physical inventory of hard goods (per party and monthly)
- Establish and maintain efficient policies and processes with the Director of Operations
- Utilize rental software, TapGoods, and catering software, Caterease, to manage inventory and communicate with other departments, including Event Planning Sales, Culinary, and Operations
- Play a key role in hiring and training qualified warehouse personnel along with Human Resources
- Prepare warehouse employee’s weekly schedules, which will require evening and weekend work during event high-season
- Be available and reliable for warehouse employee questions and troubleshooting to ensure event success
- Manage labor costs through daily payroll audits and day-to-day management of staff
- Cultivate a superior team of employees through coaching and mentorship that fosters a work environment encouraging leadership and empowerment
Rentals
- Supervise loading and unloading of event vehicles to keep an organized structure in a large warehouse
- Oversee Rental Logistics Coordinator in processing of rental tickets in rental equipment software program, TapGoods, pulling rentals from inventory, delivering orders, and dish room management
- Assist Rental Logistics Coordinator in preparing route system for all offsite delivery orders
- Forecast rentals items necessary to accomplish upcoming events, bringing attention to additional purchases needed
- Purchase replacement inventory when necessary
- Reconcile new, damaged, or broken inventory within TapGoods and update Operations for Caterease numbers as well
- Establish rental goals and focus on achievement and analyzation of desired outcome
- Establish and manage rental vendor relationships and work to build effective partnerships
Equipment
- Generate and adjust equipment packing list needed for events, which warehouse employees will pack for events
- Develop new packing and care procedures to accommodate for additional and fragile equipment pieces added to inventory
- Stay on trend with buffet equipment looks while maintaining the functionality of the pieces from a food service perspective
- Negotiate best purchase prices for new equipment
- Ensure adequate AFE equipment inventory on busier event days or schedule the pieces to be flipped in sufficient time
- Monitor quality of AFE equipment and determine when pieces need to be removed from inventory and stopped being sent to events
skills & Experience
- Preferred 2+ years of experience in the catering and/or event planning industry
- Experience in event or rental warehouse operations preferred
- Passionate about customer service and the event planning industry
- Excels in a fast-paced work environment
- Strong organizational skills
- Adept in computer programs
- Detail oriented
- Flexible and able to solve problems on the fly
- Collaborative worker who trusts the expertise of fellow departments
- Manages time, projects, and deadlines efficiently and independently
- Direct and intuitive communication skills
- Effective in presenting and sharing information
