A Fare Extraordinaire (AFE), a full-service catering and event planning company, and its exclusive venue, The Revaire, is seeking an experienced Office Manager who is passionate about the event and service industries. Our in-person, on-premise Office Manager is often the first person to connect with clients and potential clients, so they should give a positive first impression of both AFE and The Revaire. This person will provide excellent customer service in the office and over the phone to clients, vendors, tenants, and co-workers. In addition to the phone system, attention to our office space is a primary responsibility. The Office Manager will work creatively and efficiently to maintain an organized, streamlined, prepared, and positive work environment for all employees. This person is quick, detailed, efficient with their time, and prioritizes daily tasks well. As the new Office Manager masters tasks, we will encourage this person to support other AFE and The Revaire departments with additional projects, including helping with building facilities, planning small employee events, and assisting The Director of People and Culture.

Responsibilities

  • Be a confident, professional, and positive representative of the company
  • Handle opening and closing of office space and employee breakroom during office hours
  • Answer general phone calls and transfer to appropriate personnel
  • Greet clients, guests, and vendors for meetings and tastings
  • Communicate with departments regarding shipments and deliveries
  • Proactively ensure the front office, supply/print room, breakroom, conference room, and tasting kitchen areas are properly stocked and maintained
  • Manage the schedule of all meeting spaces and monitor company calendars for conflicts
  • Set up for all in-house meetings and assist staff in setting up tastings
  • Sort and distribute mail daily, placing mail in employee and tenant mailboxes
  • Assist departments with administrative needs as requested, including running offsite errands
  • Assist in coordinating vendors for building maintenance for repairs with the Facility Department
  • Assist with building recycling and composting program
  • Offer event inquiry support for the AFE and The Revaire sales teams
  • Create all pre-event files with key documents for Event Managers and staff
  • Send out post-event communication to departments
  • Gain proficiency with event software, Caterease, and assist with data entry for sales teams
  • Scan and save completed event files to the database
  • Schedule, plan, and execute all in-house celebrations in collaboration with the Director of People and Culture

skills & Experience

  • Proficient in Microsoft Office
  • Experience with the Adobe Suite or Canva a plus
  • Ability to send accurate written communication utilizing correct punctuation and grammar
  • Previous experience with event, service, and catering industries preferred
  • Ability to prioritize tasks based on deadlines and importance
  • Proactive, professional demeanor adept at working with many departments and clients simultaneously
