Office Manager

JOB SUMMARY

Our in-person, on-premise Office Manager is the confident, warm, and positive face and voice of the company. This person provides excellent customer service in the office and over the phone to clients, vendors, tenants, and co-workers. In addition to the phone system, attention to our office space is a primary responsibility. The Office Manager will work creatively and efficiently to maintain an organized, streamlined, prepared, and positive work environment for all employees. This person is quick, detailed, efficient with their time, and prioritizes daily tasks well. As the new Office Manager develops a weekly schedule, we will encourage this person to support other AFE and The Revaire departments with administrative tasks that this person is able to juggle and take ownership of while at the front desk.


PRIMARY RESPONSIBILITIES

  • Be a confident, warm, professional, and positive face and voice of the company
  • Answer general phone calls and transfer to appropriate personnel
  • Greet guests, vendors, and direct delivery personnel to proper drop-off locations
  • Daily opening and closing of office space, venue, and employee breakroom
  • Maintain communication with logistics department regarding shipments and deliveries
  • Ensure the front office, supply/print room, breakroom, conference room, and tasting kitchen areas are stocked and maintained
  • Manage the schedule of all meeting spaces and keep close watch on company’s calendars
  • Create all event travel files
  • Event inquiry support for the AFE and The Revaire Sales Team with the constant use of Caterease software
  • Handle incoming AFE delivery and pickup orders via Zuppler and Caterease
  • Set up for all in-house meetings and assist staff in setting up tastings
  • Place office supply orders bi-monthly
  • Scan and save completed event files to the database
  • Send out event comments sheets each morning post events
  • Schedule and execute all in-house celebrations in collaboration with the Director of Human Resources
  • Sort and distribute mail daily and place in appropriate employee mail boxes
  • Assist departments with daily and weekly administrative needs as requested
  • Assist in coordinating building maintenance vendors for repairs with the facility department

DESCRIPTION OF PACKAGE

  • This is an hourly paid position
  • Rate and benefits will be discussed with each candidate during the interview process
